This Privacy Policy describes how Routemize (“Routemize,” “Company,” “we,” “us,” or “our”) collects, uses, shares, and protects your personal information when you use our route-optimized booking software and related services (collectively, the “Service”). This policy applies to all users of our website (routemize.com), our applications, and any other services we provide.
By accessing or using our Service, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy.
1. Information We Collect
1.1 Information You Provide Directly
When you create an account, use our Service, or communicate with us, you may provide:
- Account Information: name, email address, phone number, company name, billing address, and password.
- Booking & Customer Data: information you and your customers enter or generate through the Service, including customer names, contact details, service addresses, selected appointment times, job notes, and communications.
- Payment Information: credit card and billing details, processed securely by our payment provider, Stripe.
- Communications: messages you send us, support tickets, and feedback.
- Profile Information: business details, service areas and territories, team-member information, and preferences.
1.2 Information Collected Automatically
- Usage Data: pages visited, features used, time spent, click patterns, and interactions.
- Device Information: IP address, browser type and version, operating system, device identifiers, and screen resolution.
- Location Data: approximate location based on IP address, and the service/booking addresses you provide, which we use to calculate drive time and optimize routes. We do not collect precise device GPS location.
- Log Data: access times, error logs, and referring URLs.
1.3 Information from Third Parties
We may receive information from integration partners (such as a CRM, calendar, or Zapier you connect), analytics providers, and advertising/measurement platforms.
2. Cookies and Tracking Technologies
We use cookies and similar technologies to operate the Service and understand usage:
- Essential Cookies — required for authentication, security, and core functionality.
- Functional Cookies — remember your preferences and settings.
- Analytics Cookies — help us understand how the Service is used (for example, privacy-friendly product analytics and Google Analytics).
- Marketing & Measurement Cookies — used to measure and attribute advertising, including the Meta (Facebook) Pixel and Conversions API, where you or a Routemize customer enables it.
You can control cookies through your browser settings. Disabling some cookies may limit certain features.
3. How We Use Your Information
3.1 Service Delivery
Provide, maintain, and improve the Service; create and manage your account; process transactions; and power features such as instant booking, route optimization, lead assignment, scheduling, SMS/email reminders and confirmations, and the AI voice agent that answers calls on your behalf.
3.2 Communications
Send service announcements, updates, and security alerts; share promotional materials and newsletters (with your consent); and respond to your questions and requests.
3.3 Analytics and Improvement
Analyze usage to improve features and user experience, develop new functionality, and measure advertising effectiveness.
3.4 Security and Compliance
Detect, prevent, and address technical issues, fraud, and security threats, and comply with our legal obligations.
4. How We Share Your Information
We do not sell your personal information. We share information only as needed:
- Service Providers: trusted vendors that help us run the Service, including Stripe (payments), Amazon Web Services (cloud hosting), analytics providers (such as PostHog and Google Analytics), telephony and SMS providers (that power reminders and the AI voice agent), and email providers. These providers are contractually obligated to protect your information.
- Advertising & Measurement Platforms: such as Meta, to report and attribute conversions via the Pixel and Conversions API, where enabled.
- Integrations You Connect: your CRM, calendar, or Zapier, at your direction.
- Business Transfers: in connection with a merger, acquisition, or sale of assets. We will notify you of any change in ownership.
- Legal Requirements: when required by law or in response to valid requests by public authorities.
- With Your Consent: for other purposes you explicitly authorize.
5. Data We Process on Behalf of Customers
When we handle Booking & Customer Data on behalf of a Routemize business customer, that customer is the controller of the data and is responsible for its own privacy practices and for obtaining any required consents from the individuals it books. We process that data according to their instructions and our agreement with them.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. When you delete your account, we will delete or anonymize your personal information within 90 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes. Booking and customer data you input will be deleted upon account termination unless you export it beforehand — we recommend exporting your data before canceling.
7. Data Security
We implement appropriate technical and organizational measures to protect your information, including:
- Encryption of data in transit (TLS 1.2+) and at rest (AES-256);
- Role-based access controls and multi-factor authentication;
- Reputable, access-controlled cloud infrastructure;
- Periodic security assessments and vulnerability testing.
No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we will promptly notify affected users of a data breach as required by applicable law.
8. Your Rights and Choices
- Access & Portability: request a copy of the personal information we hold about you by emailing admin@routemize.com.
- Correction: update or correct your account information at any time in your settings.
- Deletion: request deletion of your personal information by contacting us.
- Marketing Opt-Out: unsubscribe from marketing emails using the link in any such email, or update your preferences.
9. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have the right to know, delete, and correct your personal information, and to opt out of the sale or sharing of personal information for cross-context behavioral advertising. We do not sell your personal information, and we will not discriminate against you for exercising your rights. To submit a request, email admin@routemize.com.
10. European Privacy Rights (GDPR)
If you are in the European Economic Area, United Kingdom, or Switzerland, you have additional rights under the GDPR. We process personal data based on contract performance, legitimate interests, consent, and legal obligation. Your data may be transferred to the United States, where our servers are located, with appropriate safeguards such as Standard Contractual Clauses. Routemize is the data controller for your account information.
11. Children’s Privacy
The Service is designed for business users and is not intended for children under 16. We do not knowingly collect personal information from children under 16, and will delete it promptly if discovered.
12. Third-Party Links and Services
The Service may contain links to, or integrate with, third-party websites and services we do not operate. This Policy does not apply to them; we encourage you to review their privacy policies.
13. Changes to This Privacy Policy
We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date and, where required, notify you by email or an in-product notice. Continued use of the Service after changes take effect indicates your acceptance.
